Hardwall Sets
You need a set for your production but can't afford a whole fancy setup? We know that times are tight and extravagance must be trimmed to match the budget. Instead of bulky hardwall sets, use fabric and plastic rentals that can take light well. When you use lightweight pieces, you save big on shipping costs. And the right lighting can take any white element and make it into several, colorful looks that give you endless design options.
Sticky Storage Situations
Storage is a big headache... miscalculate on it and you'll pay big time. Make sure your trucks arrive on time at the right time. Many venues charge big bucks to store crates and elements that arrive at non-approved hours. Also, don't be in such a hurry to leave when the show is done. You may think you're saving money by skipping on the extra night in a hotel, but the fees for equipment left behind or an incomplete restore can cost you much more in the long run.
Making Hasty Orders
Hastily ordered equipment can kill your profit margin. Order in advance when you can choose the right gear for your budget and your look. Do you really need the VL3500 or will a smaller fixture do the trick? Could a simpler PA system still sound great without all the bells and whistles? Look for sturdy gear that will achieve the same effect for less. But be careful with substitutions... if your rental company has to sub your gear from someone else, you lose on savings. Choose companies that carry what you need in stock and you'll benefit big time.
The Eleventh Hour
What's the biggest money waster of them all? Waiting until the last minute to book your show. Yeah, we know that clients are putting in bids as late as possible, but that's no excuse for lack of preparation on your part. Have your show coordinator and/or technical director work with vendors to get things lined up early so that problems can be addressed ahead of time. Hold a pre-production meeting at least a few days in advance. Venues and suppliers can tack on huge fees and rush charges for late bookings, so the sooner you can lock in your space, the more money you'll keep in your wallet!
