Avoid Installation Nightmares

Installation is often the most stressful part of a show. When you're down to the wire, the last thing you want is an emergency that threatens your event's success. Beat the load-in blues with these handy tips:

Pick The Right Place

First thing's first: you gotta pick the right venue for your project. Budgets are tight and sometimes you might be tempted to select a space on cost alone. Don't let price, however, keep you from meeting your project needs. Consider the number of attendees, stage size, projection and lighting needs, and your planned uses of the room. Choosing the right venue should be a balance between cost and function.

Know Your Dimensions

There's no letdown like loading into a ballroom only to find that the ceiling is just a little too low for your set. Or that your crate can't fit through the loading door. And what's the deal with that ugly 1980's chandelier blocking half of your projection screen?? There are always surprises on show site but venue dimensions shouldn't be one of them. Take the time to explore your space and check out the dimensions beforehand. Technical drawings are helpful but can sometimes be inaccurate. Supplement blueprints with a chat with venue staff or tour of the site to get the scoop before that chandelier attacks.

Know The Schedule

Venues love bookings and will try to get as much use out of their rooms as humanly possible. Unfortunately for you, there may be events on either side of yours that can interfere with your installation. Unexpected delays can cause you to get off schedule — setting back your load-in time. Learn who is booked during your week and what their schedule looks like. Build in a buffer and bring sufficient labor so you can adjust if timelines get wonky. Also, don't forget to check with the venue about dock availability and load-in policy. Venues will sometimes charge extra fees for failing to meet their guidelines. A little groundwork helps you keep your money in your pocket.

Use A Project Manager

Load-in times are shorter than ever. The last thing you want is to find the gear you've rented takes Wernher von Braun just to put it together. An easy way to save the headache of complicated equipment is to bring on a project manager from your rental company. Their guys (or gals) will know the gear inside and out and can get it working in no time. Plus, a good PM will be able to adjust designs on the fly if your room isn't able to accommodate your original plans. The extra cost almost always pays for itself in saved money and time from a smooth assembly.

Communicate with Hotel Staff

If you take one thing away from this article, it should be this: communicate! Deliberate and constant communication with venue staff can pinpoint problems before they become huge. Find out who your point person is on location and keep them in the know as your event approaches. A good tip is to keep a notepad handy and write down issues or concerns as they come up — then run it against your "inside man" on a regular basis. It may feel like overkill sometimes, but rest assured the peace of mind you'll have on-site is worth the effort.
